Recently, I organized a 2-hour user interview recording.
In the past, manually transcribing it would have taken an entire afternoon.
But my analysis report was due the next day.
Previously, I would hand the audio file to a part-timer or stay up late typing it out myself.
Now, I don't have to do that anymore.
I just upload the recording to Vocol and let it handle the first round of organization.
In this article, I want to share a Vocol workflow that I actually use in my work.
It's not a feature overview, but a method you can apply directly.
Step 1: Prepare Your Audio File or Record a Meeting
Vocol can handle meeting recordings, podcasts, online courses, and interviews.
You can upload formats like mp3, mp4, and aac.
For online meetings, Vocol can also directly record Google Meet or Microsoft Teams.
My most common use case is: before a meeting, I open Vocol and let it record and transcribe simultaneously.
For offline interviews, I record on my phone and then upload the file.
The key point is: once the audio is in the platform, the rest of the organization becomes automated.
Step 2: Upload to Vocol and Select Language
After uploading, Vocol will ask if you want to auto-detect the language.
If your meeting mixes Chinese and English, auto-detection is very convenient.
Even with code-switching or a mix of Chinese, Japanese, and English, Vocol can still transcribe.
My own habit is: if I know the primary language, I manually specify it for better accuracy.
Don't worry too much about background noise; Vocol has noise reduction.
In office or coffee shop environments, it can still capture the conversation.
Step 3: Wait for AI to Generate Transcript, Summary, and Topics
Once uploaded, Vocol starts transcribing.
It doesn't just give you a transcript; it also generates a summary and topics simultaneously.
This is what I find most time-saving.
Previously, I had to listen again and highlight key points myself.
Now, when I open the results page, I can see the structure and key points of the entire meeting.
I usually look at the summary first, then go back to the key sections of the transcript.

Step 4: Edit, Annotate, and Collaborate
The transcript isn't just static text.
Vocol allows you and your team members to leave comments, notes, and annotations.
You can write a to-do item for a specific sentence or ask a colleague to add their input.
If needed, you can also download txt or srt subtitle files.
For cross-border teams, this feature is especially useful.
No more back-and-forth Word documents; everyone can discuss the meeting content directly on the platform.
Step 5: Export, Share, or Use AI to Further Organize
After organizing, you have several options.
First, you can directly share the transcript or summary with colleagues who didn't attend the meeting.
Second, download the file and put it into your note-taking system.
Third, use Vocol's integrated ChatGPT feature to turn the content into reports, schedules, or action lists.
I've tried converting a travel video into text and then asking AI to plan an itinerary.
The same method can be applied to meeting minutes.
3 Pitfalls I Avoid When Using Vocol
First, don't just store audio files without converting them to text.
Audio files sitting around are dead; converting them to transcripts makes them searchable, quotable, and trackable.
Second, don't skip the summary and jump straight into reading the entire transcript.
Looking at the AI-generated topics and summary first can save you half the time.
Third, don't organize alone.
Treat Vocol as a team space, let the responsible people claim to-dos directly on the transcript, so follow-up doesn't break down.

- Prepare your audio file, or use Vocol to record an online meeting directly.
- Upload and select the language; enable auto-detection if necessary.
- Wait for AI to generate the transcript, summary, and topics.
- Annotate, comment, and assign to-dos on the transcript.
- Export or share with the team, and use AI to further organize into reports.

Once you get familiar, you can bring in your entire team's meetings, so data no longer disappears as sound that's heard and forgotten.
