Meeting invitations can be chaotic, especially when you need to coordinate colleagues and external partners—time, links, and permissions all need to be managed. Fortunately, inviting people to a Microsoft Teams meeting is simple. Just follow these 5 steps and you'll be done in minutes.

Step 1: Open the Calendar from Teams or Outlook

You can click "Calendar" in the left sidebar of Teams, or use the Teams add-in in Outlook. If you're using Outlook, first make sure the Teams desktop app is installed. After installation, restart Outlook, and you'll see the "New Teams Meeting" button on the calendar page.

Step 2: Create a Meeting and Fill in the Details

After clicking "New Meeting," enter the meeting name, date, and time. You can also add details such as the agenda or location. This information will appear in the invitation email, making it easy for attendees to see at a glance.

Step 3: Invite Attendees (Internal Colleagues)

In the "Attendees" field, simply type the names or email addresses of colleagues, and Teams will automatically search for accounts within your organization. You can add multiple colleagues at once, or choose to invite an entire channel (if the meeting is related to a specific team).

Step 4: Invite External Guests or People Without an Account

To invite people outside your company, click "Add attendees" and enter their email addresses. Alternatively, after creating the meeting, copy the meeting invitation link and paste it into a new email to send to external guests. Even if they don't have a Microsoft account, they can open the link in a browser, choose "Join on the web instead," customize their display name, and join the meeting directly—no need to install the Teams app.

Step 5: Send the Invitation and Join the Meeting

Once you've confirmed all the details, click "Send" or "Schedule." The invitation email will be sent automatically, containing a "Join meeting now" link, dial-in numbers, and a meeting ID. Attendees can find the meeting on their calendar and join on time. As the organizer, you can join early to test the audio and video.

Notes:

  • External guests may need to wait for the organizer to admit them the first time they join; check the lobby settings.
  • If the meeting involves sensitive content, consider setting meeting options, such as disabling the ability for participants to share their screens.
  • When creating a meeting in Outlook, remember to click the "Teams Meeting" add-in, not just a regular Outlook meeting.

Once you've done all this, you can focus on the meeting itself without worrying about invitation mishaps.
